These Terms & Conditions outline how Little Stars Photography conducts photo days at childcare centres, kindergartens and schools. They cover everything from photography locations to class photo policies, registration, absences, delivery times and centre responsibilities.
Photography Locations
We photograph children outdoors where there is natural light and shade. If outdoor areas are unavailable or unsuitable, an indoor space with large windows will be used. A dedicated indoor setup may also be arranged for portrait-style images.
To ensure smooth sessions:
- The photography area should remain free from children not being photographed
• Educators are encouraged to plan indoor activities for other groups during outdoor photography
This helps maintain a safe, calm and organised environment.
Weather Conditions
- Light rain or mild weather does not usually stop photography
• When needed, verandah areas or covered outdoor spaces are used
• Indoor setups will be used if outdoor photography cannot continue safely
• Heavy or persistent rain may require rescheduling
We always aim to create images consistent with those shown on our website and marketing materials.
Start Time & Session Length
- Arrival time: between 8:15–8:30am
• Photography is conducted in the morning
• All sessions finish before midday
This schedule ensures children are photographed when they are happiest, most alert and settled.
Number of Photography Days
The total number of days required depends on the number of children:
- Up to 60 children — 2 days
• 60–80 children — 2–3 days
• 80–110 children — 3–4 days
• Large centres may require additional days
We photograph approximately 20–30 children per day to allow enough time with each child for a full, varied gallery.
Photography Team
Your team will consist of either:
- Two photographers, or
• One photographer with an assistant
All team members:
- Hold valid Blue Cards
• Carry public and professional liability insurance
• Have flu vaccinations and necessary immunisations
• Sanitise hands between each child
Centre Assistance
Photo days run smoothly with the help of one staff member who can gather children and provide familiar support when needed.
Registration Requirements
- Families must register their child before photo day
• Registration acts as consent for photography
• Children who are not registered will not be photographed
• Registered children receive 15–20 images
• A registration fee applies and is credited toward the child’s photo package
• Registration fees are refunded only if the child is absent
All package pricing is displayed clearly during registration.
Packages & Pricing
- Packages begin at $38
• Families may choose from a range of print and digital options
• Larger packages and full gallery options are available
• All pricing is visible to families at the time of registration
Reshoots
If a reshoot is required because a child was not dressed appropriately (e.g., family forgot it was photo day), a $25 session fee applies.
Educators are asked to ensure children are dressed and ready before being brought for photos.
Absent Children
If a child is absent:
- We will try to photograph them on another day while we are still at the centre
• If this is not possible, we may offer a return visit for a small per-child fee (redeemable toward a purchase)
• Alternatively, families may book a make-up session at our Raceview studio
Shy or Reluctant Children
We use bubbles, songs, playful interaction and gradual engagement to help children feel comfortable.
If smiles are not possible, especially for babies and toddlers natural, activity-based images are captured instead.
We work throughout the morning to provide each family with a full, beautiful gallery.
Class Photos
Traditional Class Photo (Kindergarten Only)
- Taken on one scheduled day only
• All children present on that day are included
• Class photos are not retaken if families arrive late
• We encourage eye contact and smiles, but comfort always guides the process
• Families of unregistered children may purchase the class photo
Composite Class Photo
- Created using the best individual forward-facing portrait of each registered child
• Only registered children are included
• Photos supplied by parents or centres cannot be used
• Centres must confirm class names and spelling reprint fees due to incorrect names are the centre’s responsibility
Sibling Photos
- Sibling photos are taken on the youngest child’s photo day
• All siblings must be registered
• Non-enrolled sibling photos (e.g., school-aged siblings) may be available and require a session deposit
Centre Benefits
As part of your booking, centres receive:
- Complimentary printed office copies of class photos
• Additional office copies available for $15 each
• Professional staff headshots, including a high-resolution digital file and one 5×7″ print (valued at $395)
• Staff photos are taken on one designated day, at the end of the morning, to maintain consistent lighting
Centres must provide a staff list and preferred staff photo day in advance.
Gallery Delivery & Ordering
Gallery Release
Galleries are delivered 7–10 working days after our final day onsite.
Families receive:
- A private gallery link
• A secure passcode
• Print order deadline
Ordering Period
- Families have 10 days to order printed packages
• Orders placed during this window receive free delivery to the centre
• Digital files may be ordered until the end of the year
• Late print orders incur a $15 postage fee
Delivery of Prints
Printed photo packages are delivered to the centre 2–3 weeks after the print order deadline.
Acceptance of Terms
These Terms & Conditions are accepted once the director signs the provided booking confirmation form and secures the scheduled photography dates.
